What Does a Virtual Assistant Actually Do? (And How to Know If You Need One)

So… what does a VA actually do?

It’s the question I get almost every time I tell someone what I do. Honestly? I don’t really relate to the title Virtual Assistant,  it makes me think of a chatbot! I prefer to call myself remote business support.

The truth is, what a VA does really depends on what you need.

If you sit down and make a list of all the tasks that keep your business ticking over and then highlight the ones that:

  • you don’t have time for,

  • drain your energy, or

  • just fill you with dread…

👉 That’s where a VA steps in.

Every VA has their own mix of skills, and most choose to specialise in the type of work they enjoy most.

For example:

  • If you’re a coach or wellness practitioner, you might want support with client communication, inbox management, or setting up funnels and email campaigns so your community feels nurtured and supported.

  • If you’re a consultant or speaker, you might need help preparing resources, designing presentations in Canva, or keeping your calendar management under control.

  • If you’re a charity leader or creative entrepreneur, you might look for a VA who can handle your website management, branding support, or the kind of behind-the-scenes admin and project coordination that keeps your ideas moving, helping you stay organised while bringing your vision to life.

Other typical jobs a VA can do include: CRM management, newsletter creation, project support, launch support, and technical troubleshooting. (I’m thinking of creating a simple checklist download of “what a VA can do” would that be helpful?)

As for me, I love working with heart-centred business owners. People who want to make a positive impact but don’t have the hours in the day to do all the things. I thrive on being part of a close-knit team, where communication is open, honest, and collaborative. There’s something so fulfilling about supporting people with their causes, celebrating the wins together, and knowing my work helps their mission move forward.

Hiring a VA isn’t just about ticking off tasks, it’s about having reliable support, someone who gets your vision, and helps you move forward with less stress and more work-life balance.

✨ How do you know it’s time to hire a VA?

If your to-do list never ends, you’re missing opportunities because admin tasks keep piling up, or you feel like your creativity’s been replaced by constant “doing”, it’s probably time. A VA helps you reclaim your time, reduce stress, and bring back that sense of flow in your business.

I have a free guide for first time VA users [here].

✨ If you’re curious about whether a VA could help you, start with that list I mentioned earlier.

What would feel like a relief to hand over? That’s the best place to begin.
