Feeling Overwhelmed by AI?

It feels like everywhere you look at the moment, someone is telling business owners they need to be using AI.

There are countless articles, webinars, courses and social media posts explaining how AI will transform your business, save hours of your time, and help you stay ahead of the competition. And while some of that may be true, I think there's another side to the conversation that isn't talked about as often.

Many small business owners are already overwhelmed. They're juggling client work, marketing, finances, administration, family commitments and everything else that comes with running a business and having a life. Being told they also need to master a growing list of AI tools can feel like another thing to add to an already full plate.

The message often seems to be that if you're not using AI, you're falling behind.

I'm not convinced that's true.

The Hidden Cost of "Time-Saving" Tools

One thing I've noticed is that every new tool comes with a learning curve. Before it saves you time, you often need to:

  • Research the options

  • Learn how it works

  • Set it up correctly

  • Create processes around it

  • Check the outputs

  • Troubleshoot when things go wrong

Sometimes a task that takes fifteen minutes manually can end up consuming hours while you try to learn and perfect a new system.

That doesn't mean the tool isn't useful. It simply means that the time-saving benefits aren't always immediate, and they're not always worth it for every business.

The question isn't whether a tool can save time, it’s whether it saves enough time to justify the effort required to implement and manage it.

Where AI Can Be Brilliant

I use AI myself and can absolutely see the benefits, it can be incredibly helpful for:

  • Brainstorming ideas

  • Creating first drafts

  • Summarising information

  • Researching multiple options

  • Organising notes

  • Generating content ideas

  • Speeding up repetitive tasks

Used thoughtfully, AI can reduce the time spent staring at a blank page or tackling repetitive admin tasks, which is a genuine advantage.

Why Human Oversight Still Matters

What AI can't do is fully understand your business, your clients, your values and your goals. It doesn't build relationships, spot subtle issues in the way a person can, or take responsibility when something goes wrong. Most importantly, it doesn't create from lived experience. The ideas and creativity that come from human emotion, intuition and connection are difficult to replicate through an algorithm.

And while AI can create impressive results, it's still capable of making mistakes, misunderstanding context or presenting information with confidence that simply isn't correct.

That's why I believe AI works best when it's supported by human judgement. Whether that's you, a team member, or a Virtual Assistant, someone still needs to sense-check the outputs, understand the wider context and make decisions based on what's right for the business.

Not Everything Needs to Be Automated

There's also something to be said for doing some things yourself, not because it's more efficient, but because it adds value in ways that are harder to measure. Sometimes writing a newsletter helps you clarify your thinking and it feels amazing to create something meaningful that can be shared. Responding personally to a client strengthens the relationship, and manually completing a task helps you notice improvements that would otherwise be missed.

In a world focused on speed and automation, it's easy to forget that not everything valuable can be measured in minutes saved.

The Better Question to Ask

Instead of asking: "How can I automate this?"

Maybe the question is: "What would make this feel easier or more joyful?"

The answer might be AI or it might be a better process or delegating to someone you trust. The goal isn't to use the most AI, it’s to create a business that feels manageable and enjoyable to run. If a tool helps you do that, wonderful. If it creates more stress than it solves, it's okay to leave it.
